What changed, in Ken’s words

“Now we can focus on our genius, which is helping our clients scale and grow by building awesome web designs and then building them.”

Onboarding buried the studio in admin

Kristen Bertolini Designs is a website agency in Western Australia. It builds distinctive websites that help its clients win trust and make more sales.

The team was stuck in administrative work, and onboarding a new client was the heaviest part of it. Each one meant a proposal and an agreement to write and send, an email, files in Google Drive, a Slack channel, a Monday board set up section by section, and a questionnaire whose answers had to be turned into copy.

Director Ken Blowfield knew tools such as Zapier and Make could help. What he lacked was a way to turn the plan in his head into working automation.

The approach: structure the business, then automate it

Ken shared everything about how the studio worked and asked how it should be structured to run efficiently. We broke the business down step by step, agreed a plan for what to automate and in what order, and then built it in the studio’s own accounts, testing each step.

Every automation came with a Loom video and a written guide, so the studio can change it without us.

  • A one-click client onboarding process that runs the studio’s setup steps automatically.
  • Loom videos and a step-by-step written guide for every automation.
